SharePartXXL International GmbH launches a new extension for Microsoft SharePoint and at the same time the first totally SharePoint based solution for across portal information and knowledge management: SharePartXXL Taxonomy Extension. With this the user can organise, classify and categorize stored content in his SharePoint environment according to the content’s own comprehensive structures (taxonomies). The user can then access the information and documents according to different category based aspects - independent of the storage location. The Taxonomy Extension for Microsoft SharePoint was presented for the first time at CeBIT 2008. Currently SharePoint technology is increasingly being used by companies, especially to simplify browser based collaboration with Microsoft Office over the Internet. The shared access to all data via a web portal represents only the first step. For efficient collaboration it is especially important that the user quickly acquires an overview of all the areas within the company and gains an idea of how they relate to one another: Which branch or department does what? Which products and services are offered? Which person works in which area? What kind of developments have there been on which issues? Knowledge comes not only from the individual pieces of information, but from the connection between them. The free Microsoft Windows SharePoint Service and the Microsoft Office SharePoint server offer a very high potential that valuable knowledge will often be produced during development.

Various overlapping layers in scattered content
With the help of taxonomies (classification systems) and ontologies (knowledge networks) the content can be organised, classified and categorized, so that different across-the-board portal dynamic generated layers (views) of content are possible. The structuring can thereby be created at the same time to be organised by product, use or circumstance - totally independent of the structure of the SharePoint data file. Only now with the new Taxonomy Extension from SharePartXXL is this valuable SharePoint extension possible.

Following installation SharePartXXL Taxonomy Extension integrates seamlessly in the free Microsoft Windows SharePoint Services (WSS) or Microsoft Office SharePoint Server (MOSS). Authorized users (for example category manager) have thereby the possibility to compile, in a hierarchical structured list, typical categories for the respective applications. New content or documents will be assigned to these categories on creation or filing. The system supports this with its own suggestions. The categories are automatically available as additional, across portal navigation in WSS/MOSS.

A knowledge network, therefore, emerges that shows all categorized content consolidated independent of SharePoint storage location and according to different views (for example organized in respect of themes, dates and people). Content linkage follows immediately and automatically. In this way the user can, according to his access authorization, directly navigate in the company’s knowledge network. Being more comprehensive than a search, connections and topics are therefore accessible to him. Changes on the basis of categories can be comprehensively subscribed to by e-mail or RSS.

For example if required one can be notified about all changes to documents affecting a product.

Information is therefore easy to access and costs for complicated research are reduced. Decisions can be made quicker and safer and collaboration is significantly improved.
