In an effort to make the court system electronically searchable, the City of Houston contracted with MAXIMUS to launch the Integrated Case Management System, built around the MAXIMUS CourtView(R) software product. In turn, MAXIMUS has partnered with DocuData Solutions for the electronic conversion of the paper records that will constitute the bulk of the database for the new system. The system is scheduled to go live in early 2006.

"There were three main challenges in this conversion effort. One was just the sheer volume of records that needed conversion. The second was the tight timeline, and the third included the privacy and sensitivity of the records we were dealing with," said DocuData Solutions President Brian Rathe. "To the novice, that might sound like a 'triple threat' of sorts. But since we deal with these kinds of challenges every day, this assignment was right up our alley."

The conversion process includes preparation, scan, index, verification and quality inspection of up to 10 million pages for as many as 1.4 million cases currently in the court record system. With the outsourcing of the document conversion to DocuData Solutions, MAXIMUS will be able to focus on the actual implementation of the CourtView(R) system.

"In selecting a partner for the document conversion, DocuData stood out as a company that could meet all the needs of this particular project," MAXIMUS Project Manager, Maryann Smith, said. "They have a great track record and share our commitment to quality and customer service."
