PalmSource Selects Interwoven Collaborative Document Management

Interwoven, Inc., provider of Enterprise Content Management (ECM) solutions for business, announced that PalmSource Inc., provider of Palm OSŪ, an operating system powering next-generation phones and mobile devices, has selected Interwoven Collaborative Document Management for its corporate legal department. As a result of Interwoven's unique matter-centric collaboration approach, PalmSource expects the new system to improve overall legal staff efficiency, facilitate increased content re-use, and enable better tracking of document approvals and archiving.

The PalmSource corporate legal department handles legal matters ranging from licensee and operational contracts to patents. Previously, without a document management system, the PalmSource legal team spent a great deal of time tracking down documents and document versions that were often stored on individual computer desktops, in e-mail, or filed on shared network drives without a common system. Additionally, efforts regarding Sarbanes-Oxley compliance were labor intensive and imprecise since business-critical documents and e-mails were often difficult to find, not to mention the most current versions could not always be quickly identified.

In order to address these challenges, PalmSource selected Interwoven WorkSite because its unique matter-centric collaboration approach most closely matches the way attorneys and staff actually work, enabling more rapid adoption of a single collaborative document management repository for use by the legal team from anywhere at anytime. Interwoven WorkSite was also the only system that could enable PalmSource to seamlessly manage both documents and e-mails in one integrated platform. As a result, the PalmSource legal team will now be able to more effectively reuse existing content since documents and e-mails can be quickly and easily located, often contributing to the shortening and improvement of daily business processes including working with outside legal counsel and managing sales contracts. Further, by consolidating all business-critical documents and e-mails in one central repository, PalmSource can streamline its processes for Sarbanes-Oxley compliance through rapid access of the most current compliance-related documentation.

Interwoven Collaborative Document Management is based on Interwoven WorkSite 8 software, which offers a unique paradigm for managing legal documents known as matter-centric collaboration (MCC). MCC represents a user-centric design, which, for the first time, enables lawyers and other professional services practitioners to manage matter-related content in the electronic world the way they have done for more than 100 years in the physical world. MCC creates the true electronic equivalent of a case file by consolidating documents, e-mails, billing, contacts, and all other relevant content for any given matter in a single integrated file that is accessible both internally and externally across departments and locations. The e-mail management capabilities of WorkSite 8 provide automatic and simplified user-controlled methods, which streamline and automate the filing of e-mails and documents into dedicated "matter" folders. As a result, organizations can keep track of hundreds of thousands of e-mails in context with all other relevant matter documents within the WorkSite 8 solution as well as make them quickly available via full-text searching throughout the document management system.

PalmSource has been an Interwoven customer since its inception in 2002. The company uses Interwoven TeamSite software for Web Content Management and Interwoven OpenDeploy software for Enterprise Content Distribution. The availability of best-of-breed components as part of an integrated ECM platform is one of the contributing factors to PalmSource's growing reliance on Interwoven ECM solutions and products. Interwoven and PalmSource also share a vision regarding the growing importance of the Linux operating system in supporting enterprise infrastructure.
