Siemens Financial Services selects NSi AutoStore to capture documents into IXOS Archive and SAP

Part of the world renowned Siemens corporation, Siemens Financial Services (SFS) was founded in 1997 to deal with the group's financing issues and risk management. While remaining under the Siemens umbrella, SFS became an independent company in 2000. It is now headquartered in Munich, employs more than 1,700 people providing financial services in 30 countries.

Siemens Financial Services Business generates a large amount of paperwork which must be efficiently archived and immediately available.

"We need to file between 20,000 and 25,000 pages per month, mainly invoices," said the IT infrastructure manager with SFS. "Previously we kept paper records and some microfiche but we were running out of space and these were inefficient systems. "We decided to search for an archive system where we could store these documents as digital data, which could be linked to our SAP system and which would make them quickly available."

NSi AutoStore and IXOS provide a powerful new way to manage documents Using network scanners for automated scanning and distributed imaging, the SFS system includes an exciting new way of combining the comprehensive routing abilities of NSi AutoStore with an IXOS document management system, then linking the IXOS files back into SAP. The NSi AutoStore solution was installed and configured in just two days by NSi reseller Datentechnik Geist of Wetzlar.

When they are received, all invoices are given a barcode which is scanned at the desktop to provide a hook into SAP. They can then be piled onto the network scanner which produces high quality TIFF images that are sent to the NSi AutoStore server. In a unique new development, AutoStore has been configured to read the barcodes and then split the invoices, no matter how many different pages they contain, producing command files that are picked up by IXOS and routing the document to the appropriate filing area. IXOS then creates the link into the company's SAP system.

This unique new way of teaming NSi AutoStore with IXOS underlines the versatility of AutoStore and means that once the barcodes are attached, the process is fully automated with no need for time-consuming tasks like entering data values. It also means that users have constant and quick access to all SAP contract or invoice data stored in IXOS.

"It is early days yet but we are confident that this archiving solution and the new configuration of NSi AutoStore and IXOS will save us time and money" concluded the responsible manager. "It will improve efficiency and will also leave staff free to concentrate on other parts of the business."
