Process Based Document Management as Key Enabler for Sarbanes-Oxley Compliance

Regulatory compliance demands that companies establish and maintain an adequate internal control structure and procedure for financial reporting. Often the key issue is how to capture, monitor, assess and manage the unstructured information related to business processes rather than the structured information related to contracts and business execution. Examples of important unstructured information are emails, WORD documents, EXCEL documents, PDF documents, drawings, etc. related to a business process documenting changes with financial implications.

Change order management and exception reporting related to execution within "cross-silo" business processes involving multiple departments is where legacy applications fall short. Traditional function based document management systems are most often inadequate for internal control of the financial impact of changes to contracts and projects. It is difficult to find information and key decision makers are not kept aware of scope/time changes to projects and deliverables in a timely fashion to intervene and make changes. This is where cBrain’s process based document management solution excels with simple management, access and sharing of data for the audit process.

At the core of the different BPM solutions cBrain has delivered is the cBrain XML component library. This XML library is used for all our deliverables enabling us to match our customers' exact requirements for how a BPM system should support the business processes and user experiences of employees, customers, suppliers, sub-contractors and auditors.
